Accounting Assistant for Miriam

ACCOUNTING ASSISTANT

Miriam, The Learning Disability Experts, is the St. Louis region’s oldest and most

comprehensive resource for children with complex learning disabilities. Through its two

programs, Miriam School and Miriam Learning Center, the organization serves 500 children

annually. Services from private tutoring and therapies to an independent special education

school are available for students ages 3-18. Programs are located in Webster Groves and are

supported by Miriam’s Administration and Business offices.

Status: Part-time 20 hours per week (may eventually increase to full-time).

QUALIFICATIONS:

• High school diploma, college preferred

• Accounts receivable experience

• Detail oriented

• Ability to independently assume administrative and program supervision responsibilities

• Excellent communication skills to interact with students, parents, and professionals

• Proven ability to work collaboratively.

• Computer literate, including word processing, Excel spreadsheets, and e-mail.

REPORTS TO: Director, Learning Center and Business Manager

POSITION SUMMARY:

The Administrative Assistant spits time between the Miriam Administrative and Business Office

and the Miriam Learning Center providing clerical support services for the offices.

PERFORMANCE RESPONSIBILITES:

• Maintain up-to-date billing system

• Generate and send out invoices

• Follow up on, collect and allocate payments

• Carry out billing, collection and reporting activities according to specific deadlines

• Perform account reconciliations

• Monitor customer account details for non-payments, delayed payments and other

• Research and resolve payment discrepancies

• Generate age analysis

• Review AR aging to ensure compliance

• Maintain accounts receivable customer files and records

• Follow established procedures for processing receipts

• Process credit card payments

• Investigate and resolve customer queries

• Process adjustments

• Develop a recovery system and initiate collection efforts

• Communicate with customers via phone, email, mail or personally

• Assist with month-end closing

• Collect data and prepare monthly metrics

• Enter consumer test results into the computer

• Maintain the computer client data base

• Order office and treatment supplies

• Photocopy materials for treatment staff

• Make therapy confirmation phone calls with parents

• Provide general administrative support
